TERMS & CONDITIONS

Fluid Body Retreat

Effective Date: April 1, 2026

Please read these Terms and Conditions carefully before registering for or attending the Fluid Body Retreat ("the Retreat"). By completing your registration and/or payment, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree, please do not proceed with registration.

1. About the Retreat

Fluid Body Retreat is a 4-day, 3-night somatic retreat offering guided TRE (Tension & Trauma Releasing Exercises) sessions on land and in water, embodied anatomy and physiology workshops, somatic practices, and integrative support. The Retreat is designed for practitioners and students who wish to deepen their relationship with their body and explore a fuller, more fluid state of being.

Participation in the Retreat is open to adults aged 18 and over. By registering, you confirm that you meet this age requirement.

2. Registration & Payment

a. Registration

Registration is confirmed upon receipt of your completed registration form and applicable deposit or full payment. Spaces are limited and are allocated on a first-come, first-served basis. Submitting a registration form does not guarantee your place until payment has been received and confirmed in writing by us.

b. Payment

Full payment is required by the date specified at the time of registration. We accept payment via the methods listed on our website. All prices are listed in US Dollars unless otherwise stated. By submitting payment, you agree to the total amount charged as outlined in your registration confirmation.

c. Payment Security

Payments are processed securely through a third-party payment processor. We do not store your full payment details. Please refer to our Privacy Policy for further information on how your data is handled.

3. Cancellation & Refund Policy

a. Cancellations by the Participant

All ticket purchases for the Fluid Body Retreat are non-refundable. By completing your registration and payment, you acknowledge and agree that you are not entitled to a refund if you choose to cancel your participation for any reason, including personal circumstances, scheduling conflicts, or a change of plans.

We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage to protect your investment.

b. Cancellation by Fluid Body Retreat — Foreseeable Circumstances

In the event that Fluid Body Retreat cancels the event due to foreseeable circumstances — such as insufficient enrollment, a venue becoming unavailable, or a decision made within our reasonable control — all registered participants will receive a full refund of their ticket price. We will notify participants as soon as the decision is made and process refunds promptly.

We are not responsible for any additional costs incurred by participants as a result of such cancellation, including independently booked travel or accommodation expenses.

c. Postponement Due to Unforeseen Circumstances — Extreme Weather or Force Majeure

If the Retreat must be cancelled or interrupted due to unforeseen circumstances beyond our reasonable control — including but not limited to extreme weather events, natural disasters, or other force majeure events — the Retreat will be postponed to a later date to be confirmed as soon as reasonably possible.

In this case, registered participants will have the following options:

  • Transfer their registration to the postponed Retreat date at no additional cost, or

  • Receive an 80% refund of their ticket price if they are unable or unwilling to attend the rescheduled event.

Participants wishing to request the 80% refund must notify us in writing within 14 days of being informed of the postponed date. Refund requests received after this period may not be honored. We are not responsible for any independently booked travel or accommodation costs in the event of a postponement.

4. Health, Safety & Participant Responsibility

a. Health Disclosure

TRE and somatic bodywork involve physical movement and may evoke emotional responses. By registering, you confirm that you are in suitable physical and mental health to participate. If you have any pre-existing medical or psychological conditions, injuries, or concerns, you must disclose these to us prior to the Retreat by contacting us at the address in Section 9. We reserve the right to request a letter of clearance from a qualified healthcare professional.

b. Assumption of Risk

Participation in the Retreat, including somatic practices, TRE sessions on land and in water, and other wellness activities, carries inherent risks. By registering, you acknowledge these risks and agree to participate voluntarily. You are responsible for your own wellbeing during the Retreat and agree to communicate openly with facilitators about your needs and limits.

c. Participant Conduct

All participants are expected to treat fellow participants, facilitators, and staff with respect and care. We reserve the right to ask any participant whose behavior is disruptive, harmful, or inconsistent with the spirit of the Retreat to leave without a refund.

d. Contraindications

TRE and water-based somatic work may not be suitable for everyone. If you are currently experiencing an acute mental health crisis, are in active trauma treatment requiring close clinical supervision, or have been advised by a healthcare professional to avoid such practices, please consult your provider before registering.

5. Accommodation & Included Amenities

Your registration includes 4 days and 3 nights of shared accommodation, access to shared lounge and meditation areas, the heated saltwater pool, mango grove, hammocks, and fire pit, as well as three daily Ayurvedic meals prepared with gluten-free, organic, and locally sourced ingredients. Specific room assignments are at the discretion of the organizers. Private room upgrades, where available, may be requested at an additional cost.

Please inform us of any dietary restrictions or allergies at the time of registration. While we will make every reasonable effort to accommodate your needs, we cannot guarantee a completely allergen-free environment.

6. Preparation & Integration Calls

Your registration includes two preparation group calls prior to the Retreat and two integration group calls following the Retreat. These calls are an important part of the experience and are offered at scheduled times communicated in advance. If you are unable to attend a scheduled call, we will endeavor to share any relevant materials, but recordings or individual make-up calls cannot be guaranteed.

7. Intellectual Property

All content, materials, workshop teachings, and practices shared during the Retreat — including but not limited to embodied anatomy workshops, somatic frameworks, and facilitation methods — are the intellectual property of Fluid Body Retreat and its facilitators. Participants may not record, reproduce, distribute, or share any Retreat content without prior written consent from Fluid Body Retreat.

8. Limitation of Liability

To the fullest extent permitted by applicable law, Fluid Body Retreat, its facilitators, and staff shall not be liable for any direct, indirect, incidental, or consequential loss or damage arising from participation in the Retreat, including but not limited to personal injury, loss of property, or emotional distress. This limitation does not apply in cases of gross negligence or willful misconduct on our part.

Participants are responsible for their own travel arrangements, travel insurance, and any personal belongings brought to the Retreat. We strongly recommend purchasing comprehensive travel insurance that covers cancellation, medical expenses, and loss of personal property.
